Job Description

Employment Term: 6 month Full-time contract with potential for extension.

Salary Range: $50,000 to $59,000 per year

An Executive Assistant (EA) is a tactical genius and is responsible for assisting the Executive with meeting their responsibilities by providing administrative support and management. Executive Assistants live in the now (or usually 1 week – 30 days out). Their work is driven by the demands of the day and week. They handle all the day-to-day details, such as scheduling, travel, meeting prep, events, and general office management. In addition, the Executive Assistant maximizes the interim Leader’s reach through their exceptional leadership and communication skills.

In addition future planning and management is required for this position; planning out to a minimum of 90 days out. The EA will handle what they must in the moment, but much of their time is focused on longer-term planning and projects to ensure the growth of the Party and the success of the interim Leader. Their work is driven by the demands of the long-term vision of the Party – creating presentations or writing speeches to share the vision, establishing objectives and key results (OKRs), and above all, maximizing the interim Leader’s reach.

Administrative Duties

  • Manages interim Leader emails and phone calls, assisting with replies where requested.
  • Coordinate a daily, weekly and monthly schedule for the interim Leader.
  • Coordinate travel plans for the interim Leader.
  • Schedule daily 15 minute check in meetings.
  • Organize, schedule and ensure that relevant members of the team attend all important meetings, events.
  • Responsible for tracking implementation of a results-based work plan for the whole team
  • Maintain all core essential documents in a set of folders on the shared google drive.
  • Complete expense claim forms for the interim Leader.

 

Project Management Duties

  • Suggest solutions to any issues as requested.
  • Maintain open and flexible communication with all party groups.
  • Ensure the interim Leader is prepared for all meetings and events (either via briefings or briefing notes).
  • Support the editing of GPC promotional material and social media content that is in the interim Leader’s voice.
  • Coordinate briefing material, reports, speaking notes and correspondence on current issues

 

Other Duties

  • Support the interim Leader with monitoring their social media, including triaging incoming messages and posting prepared content to their accounts.
  • Support the interim Leader with monitoring media requests, scheduling interviews, and editing responses to requests for comment

The successful applicant will be the person who can provide examples that they have experience, knowledge (lived experience, training or education), ability and skills for all Essential criteria and many if not all of the Asset criteria.

Essential Criteria

-    Experience managing a high volume of emails and phone calls.

-    Experience coordinating daily, weekly, and monthly schedules.

-    Skills maintaining an accurate calendar.

-    Ability to manage competing priorities.

-    Skills working with multiple stakeholders across the country to develop and quickly modify travel plans.

-    Experience scheduling virtual and face-to-face team meetings.

-    Skills using Google Calendar and Zoom or equivalent software to schedule team meetings.

-    Experience maintaining documents in a shared drive.

-    Skills preparing expense claims.

-    Experience, knowledge or training in dismantling discrimination, colonization or ableism.

-    Skills maintaining open and flexible communication.

-    Skills tracking implementation of a work plan.

-    Ability to coordinate information from relevant subject matter experts (eg. Shadow Cabinet) in a timely manner.

-    Experience interacting with press and managing requests from the media.

-    Experience or knowledge of coordinating cross Canada travel (transportation and accommodation).

-    Knowledge of the Google Suite, including Gmail, Calendar, Docs etc (or equivalent software).

-    Knowledge of GPC structure (Leader, Federal Council, Fund, Electoral District Associations etc).

-    Experience coordinating the preparation of briefings or briefing notes for meetings and events.

-    Knowledge of recent statements made by the GPC or interim Leader on current events, or GPC policy.

-    Ability to coordinate, draft or edit relevant, timely and informative materials promoting GPC positions on a wide range of priorities.

-    Knowledge of current issues and priorities for the GPC.

-    Ability to coordinate preparation of briefs, reports, speaking notes and correspondence on GPC priority issues.

-    Experience establishing, maintaining and managing social media (twitter, instagram, FB, GPC website etc).

-     Knowledge of working with confidential information.
